Job Description: To serve as front Office Manager and assist the Administrative Manager with overall administration of the RTF department.

General Notes

Position may require some overtime during peak periods. Candidates must be authorized to work in the United States.


  • Serves as the department’s first point of contact for phone and email inquiries, as well as walk-in traffic. Supervises front office student workers. Organizes all physical aspects of the department; including office moves, office supplies, storerooms, and mailroom. Coordinates room reservations for staff, faculty, and students. Coordinates TA and lecturer office assignments. Main point of contact for college building/facilities manager.
  • Maintains department directories, lists and calendars. Ensures office equipment is working properly and bulletin boards are up-to-date and informative.
  • Assists students with film shoots by managing insurance policies and securing on-campus film locations. Processes bills through “What I Owe”. Counsels and advises students about Production protocols. Maintains Production Student Handbook and conducts PowerPoint presentations for both new and advanced production students.
  • Appoints and onboards Visiting Scholars, Official Visitors, Contingent Workers, and Work-Studies in Workday. Processes background checks and I-9s for new employees.
  • Assists Administrative Manager with various faculty reviews, promotion packets, teaching awards, and other projects. Maintains online faculty handbook. Records minutes at departmental meetings, manages files and adheres to UT records retention policies.
  • Coordinates logistics for grade reporting, course instructor surveys, FASET reporting, final exam requests, and space reports.
  • Organizes department events; including planning, ordering and coordinating with vendors. Assists with organizing faculty recruitment visits. Represents RTF during Explore UT weekend and Hearts of Texas Campaign.
  • Other duties as assigned

Required Qualifications

Bachelor’s Degree and one year of clerical experience or High School Diploma or GED and three years of clerical experience. Excellent verbal and written communication skills. Ability to work in a shared space environment with frequent interruptions. Ability to multi-task. Regular and punctual attendance. Professional demeanor. Competency with Microsoft Office Suite, especially Microsoft Word and Excel.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor’s or advanced degree in Radio-Television-Film. Experience in film production. Experience in an academic department at the University of Texas. Experience with UT systems such as FaSET, Workday, and Mainframe systems.

Salary Range

$40,000 + depending on qualifications

Standard office environment

May require some lifting and moving, and using stairs

May require some overtime during peak periods.
